The following describes how to create a new service order by copying an existing one, and how to select the jobs or job lines that you want to include in the copy process. You can also copy a service order, service quotation or service invoice.
Checks are performed during the copy process. If there are any errors in the source being copied, the order itself will be created, but you must correct the error to be able to continue processing. See Work with erroneous service orders for details.
Note: Once you have started the copy process, you have to either select a complete job or one or several individual job lines. If you select a line, the pertaining job will be automatically selected with it. At least one job/line must be selected.
- Select the Work with service orders menu item.
- You access Work with service orders, Header view. Select the applicable service order and click Copy.
- You access Work with service orders, Service order copy where you can enter new information for the order you are creating. If you do not enter anything, all the existing information from the source being copied will be retrieved to the new order. For a description of the fields on this panel, refer to Panel help. Click OK.
- You access Copy service order jobs listing all jobs that pertain to the order you are copying.
- Either, highlight a job and click Select to include the whole job and all its lines in the copy process. Note: You must select this option for at least one job.
- Or, highlight a job and click Select lines to select individual job lines. The job will be included in the copying, but only together with the lines that are selected. Note: This option can be chosen for as many jobs as you like, provided option 1 is selected for at least one job.
- You access Copy service order lines, Not selected:
- On the Select lines confirmation panel click OK to confirm.
- You return to the Not selected panel where the line is no longer displayed. Only lines which have not yet been selected are displayed. Toggle Show selected lines. The panel sub-heading is now Selected and only selected lines are displayed. In this mode, the Deselect option is available making it possible to regret and change an earlier selection before you proceed with the copy process. Once you have confirmed a deselection, toggle Show not selected lines to display lines available for a new selection.
- You return to the Copy service order jobs panel. A YES in the Lines sel column denotes that individual lines have been selected within the job. When ready, click OK to update.
- You access the Select jobs confirmation panel. Click OK to confirm that the copy process may continue. The selected jobs/lines are copied to a new order.
- You access Work with service orders, Service order jobs where the selected jobs have now been copied into a new service order. You can now start working with the new order.
You have two options on this panel:
The instructions below assume that option 1 is already selected and outlines the procedures for the second option.
All lines pertaining to the selected job are displayed as not yet being selected. You can select one or several lines. For this example, highlight one line and click Select.
When you have made your selection, click OK to update.
Note: If the new order was created with errors, a message is displayed and the system accesses the program in Work with orders in error mode. You need to correct the errors before you can continue processing the order.
