A combination check verifies if the account combination entered is valid. If a combination check is active it can be performed for all types of G/L transactions.

Your account combination consists of a variety of accounts in several account parts which allow you to post a transaction on different levels. You must always enter an account in the main account part. However, depending on the combination code for the main accounts, accounts should or may be entered in the remaining account parts.

Purpose

You can use a combination check to strictly define account structures, and by doing so this will increase account security and reduce keying-in-errors. If, for example, you have defined, in Work with combination checks, that main account 10200 is used purely for an administrative cost centre, then any code other than an administrative cost centre would not be allowed. The combination check sets the limits for what you are able to enter as valid accounts for a main account. You can set up a number of combination checks for one main account, using both ranges of accounts and masks.

There are two steps to a combination check:

  1. In Work with chart of accounts (the Account file) state per account if you want a combination check. If the entry is YES, then you are able to add restrictions in Work with combination checks for that account. If NO, then the system inactivates the combination check for the specified main account. The system will default NO when you create new accounts.

    Caution: When the combination check is activated for an account in the Account file, entries must be made in Work with combination checks. Otherwise, no entries would be valid.

  2. Set up the combination rules in Work with combination checks. An error message will appear on this panel, (“Combination check is inactive”) if the main account you want to set up a combination check for has its code in Account file set to NO (see step 1).
  3. Note: It is important that you do not set up a combination that is illogical, making all entries impossible, since the system itself does not check if the combination you enter is feasible. The system does not test if you have established several combination checks for the same main account.
