Set up a standing order

  1. Select the Work with standing orders menu item.
  2. You access Standing order group maintenance. Click Add.
  3. You access the detail panel where you set up the schedule for the standing order. Complete the following fields:
  4. Voucher type
    Enter a voucher type for the GLST routine. The voucher type controls the voucher numbering.
    Last applied period
    The system proposes the current period. You can change the period to another open one.
    Apply code
    Enter 1 for automatic apply. Enter 2 for manual apply.
    Selection
    Mark the accounting periods into which you want to post the standing order.
    Voucher date
    Leave the field blank. If you enter a specific voucher date the standing order will receive the voucher date you enter. Note: This is not applicable if the period is not a normal period. In this situation, you will have to enter the date manually.

    Click OK to update the information.

  5. You access Standing order detail maintenance, giving an overview of all individual postings with accounting information. Click Add. Note: If you are working with quantities, click Shift info to view the quantity information.
  6. You access Standing order detail maintenance. You can enter information in the following fields:
  7. Account parts 1-8
    Enter the account combination you want to post the amount.
    Transaction amount
    Enter the amount you want to debit.
    Transaction currency
    You use this field when the transaction amount is in a different currency than the system amount. If you enter a currency and a transaction amount, then the corresponding system amount will be calculated during update. Note: Which exchange rate the system uses depends on which currency period is defined in the G/L control file.
    System amount
    Enter the system amount. However, if you leave this field blank the system calculates it automatically during update.
    Quantity
    Enter a quantity. You can also use this field if you want to create a pricing transaction.
    Quantity code
    When you work with quantities, enter the code for the unit of measurement. Note: In the Account file you can set up a specific quantity code for an account you are posting. The system will then automatically default the quantity code.
    Text
    Enter a text key with a predefined entry text or enter free text.

    Click OK to update the entries.

  8. To complete the accounting you must now enter the account you are about to contra. The system redisplays the panel and suggests the total credit amount in Transaction amount. You can change the amount if you want to credit more than one account. Enter the contra account and click OK.
  9. The overview panel now displays the complete accounting for the standing order. Click OK to update and exit the routine.
